Privacy Policy

This Privacy Policy describes how Sunshyn Credentialing & Medical Billing Group (“Sunshyn,” “we,” “us”) collects and uses information in the Sunshyn Learning Center at https://learning.sunshyncredentialing.com (the “Service”).
The Learning Center is an educational and practice-building product for independent healthcare providers. It is not an electronic health record and is not intended to store protected health information (PHI) or patient clinical records.
1. Information we collect
Depending on how you use the product, we may collect:
- Account information — name, email address, password (stored hashed), membership/role, and optional profile details you enter about your practice.
- Google sign-in information — if you choose “Sign in with Google,” we receive your Google account email, name, and profile image from Google, and we create or link your Learning Center account.
- Learning activity — pathway progress, lesson completion, worksheet answers, notes, uploads you choose to attach, support requests, and similar product usage needed to save your work.
- Billing and membership information — plan selections, invoice identifiers, payment status, and customer identifiers needed to create and track QuickBooks Online invoices and membership activation. We do not store full payment card numbers on our servers; card entry, if any, is handled by Intuit/QuickBooks payment pages.
- Technical information — basic logs such as timestamps, browser/device signals, IP address as processed by our hosting provider, cookies or similar session tokens needed for sign-in, and security/auth events.
2. How we use information
- Provide, secure, and improve the Learning Center
- Authenticate you and maintain your session
- Save progress, worksheets, practice tools, and preferences
- Create invoices, confirm payment status, and activate paid memberships
- Respond to support requests and administer memberships
- Prevent abuse, troubleshoot outages, and meet legal obligations
We do not sell your personal information.
3. Google authentication
Google sign-in is optional. When you use it, Google’s own policies also apply to the data Google processes. We use Google only to authenticate your identity and obtain the limited profile details needed to operate your account. You can disconnect Google access in your Google Account permissions at any time; you may still need an email/password method or admin help to keep using the Learning Center afterward.
4. Billing & QuickBooks
Paid memberships (Individual Premium, Practice Premium, Practice Academy add-on, and similar plans) may be invoiced through Intuit QuickBooks Online (“QuickBooks”). When billing is enabled:
- We may create or update a QuickBooks customer record using your name, email, and practice label, and create invoices with online payment links.
- Payment is completed on Intuit/QuickBooks-hosted pages. Intuit processes payment data under its own terms and privacy policy.
- We receive invoice balance and payment-status updates (including via optional webhooks) so we can unlock or restrict premium features after payment confirmation.
- Sunshyn staff with admin access may connect a QuickBooks company to the Learning Center for invoicing. OAuth tokens for that connection are stored securely for server-side use and are not exposed to learners.
If QuickBooks credentials are not configured, some memberships may remain free or admin-granted until billing is enabled.
5. What not to upload
Do not enter or upload patient names, medical records, clinical notes, insurance member IDs, or other PHI into worksheets, uploads, mentorship tools, support tickets, or free-text fields. Keep patient records in your clinical systems and follow your practice’s privacy policies.
6. Sharing
We may share information with:
- Service providers that host or operate the product (for example Amazon Web Services) under contractual and technical safeguards
- Google, only if you choose Google sign-in
- Intuit / QuickBooks, when you purchase or renew a paid membership so invoices and payments can be processed
- Legal or safety situations when required by law or to protect users, Sunshyn, or others
Practice-owner features may allow a practice owner you join to see membership/login status for that practice team. They should not use the Learning Center to store PHI.
7. Cookies & similar technologies
We use essential cookies and session tokens to keep you signed in, protect against cross-site request forgery, and remember authentication state. These are required for the Service to function. We do not use third-party advertising cookies on the Learning Center.
8. Retention & security
We retain account, learning, and billing-status data while your account is active and as needed for operations, backups, dispute resolution, tax/accounting records, and legal requirements. We use reasonable administrative, technical, and organizational measures, including encrypted transport (HTTPS), access controls, and hashed passwords. No online service is perfectly secure.
9. Your choices
- Update profile and account settings while signed in
- Request account or data deletion by emailing us (some billing records may be retained as required for accounting or law)
- Stop using Google sign-in through your Google Account settings
- Cancel or change membership plans through Membership settings or by contacting us
10. Children
The Learning Center is intended for adults operating or training for professional practice. It is not directed to children under 13, and we do not knowingly collect their personal information.
11. U.S. state privacy notices
If you are a California resident or resident of another U.S. state with similar privacy laws, you may have rights to know, access, correct, or delete certain personal information, and to opt out of “sale” or “sharing” as those terms are defined by law. We do not sell personal information. To exercise rights, email us at the contact below. We will verify your request and respond as required by applicable law.
12. Changes
We may update this policy. The “Last updated” date will change when we do. Continued use after an update means you accept the revised policy.
